This policy applies specifically to the Addressed mobile app. It is separate from any wider privacy information that may apply to our website or other business services.

The Addressed app is intended for clients and users who are invited by Addressed National Ltd to access app services.
Users cannot create an account for themselves through the app. Accounts are created by Addressed National Ltd and users are then invited to sign in and use the app.
Depending on how you use the app, we may collect and use the following categories of personal information.
Information about you
This may include your name, email address, telephone number, postal address, account details and other contact or profile information held by us in connection with the services we provide.
Account and login information
This includes the email address and password used to sign in to the app, together with related account access and security information.
Property and service information
The app may display and use information relating to properties, tenancies, sales, rental matters, events, reminders, offers, communications and other service-related records linked to your account.
Much of this information may come from the property management and business systems already used internally by Addressed National Ltd.
Images and uploaded content
If you choose to use image upload features, we may collect and store images and related content that you upload through the app, including images of properties.
Messages and communications
If you use the app’s messaging features, we may collect and store messages and related communications sent between you and members of staff at Addressed National Ltd.
Technical and device information
We may collect limited technical information needed to operate, secure and improve the app, such as device type, operating system, app version, log information, notification token and basic diagnostic information.
We collect personal information in the following ways:
- directly from you when you sign in, use the app, send messages, upload images, submit requests or otherwise interact with the app;
- from our internal business and property management systems where information is already held by us and made available to you through the app;
- automatically from your device and app usage where necessary for app functionality, security, support and notifications.
We use personal information for the following purposes:
- to create, manage and maintain app accounts;
- to provide access to the Addressed app and its features;
- to display and manage property-related and service-related information within the app;
- to communicate with you through the app;
- to send reminders, alerts, account updates and other operational notifications;
- to send relevant service updates and, where appropriate and permitted by law, promotional or offer-related communications;
- to respond to support requests, enquiries and deletion requests;
- to maintain security, investigate issues, prevent misuse and protect the app and our services;
- to troubleshoot, maintain and improve the app;
- to comply with legal, regulatory and contractual obligations;
- to establish, exercise or defend legal claims where necessary.

We process personal information where this is necessary to provide app access and related services to you.

We process personal information where this is reasonably necessary for operating, supporting, securing and improving the app and our services, and for managing our client relationships.

The app may request access to your device’s photo library, files or media so that you can upload images or related content to the app.
Notifications
The app may request permission to send push notifications for reminders, alerts, updates and similar communications.
Location
The app does not currently use location services or collect location data through your device for app functionality.
You can manage device permissions in your device settings at any time, although some app features may not work properly without the relevant permission.
If you allow notifications on your device, we may send push notifications relating to upcoming events, rental matters, sales offers, reminders, account activity, service updates and other relevant communications connected with your use of the app and our services.
You can turn push notifications off at any time through your device settings.
We do not sell your personal information.
We may share personal information where necessary with trusted service providers and partners that help us operate the app and our business, including:
- backend, hosting, storage and authentication providers, including Google Firebase;
- notification and technical service providers;
- address lookup providers, including Ideal Postcodes;
- professional advisers, insurers, auditors or legal advisers where reasonably necessary;
- regulators, law enforcement agencies or other authorities where required by law or to protect our legal rights.
Where third parties process personal information on our behalf, we require them to process it only for authorised purposes and with appropriate safeguards.
Some of our service providers may process personal information outside the United Kingdom.
Where this happens, we take appropriate steps to make sure personal information remains protected in accordance with applicable data protection law, including through the use of appropriate contractual safeguards or other lawful transfer mechanisms where required.
We keep personal information only for as long as reasonably necessary for the purposes set out in this policy.
Because the app forms part of our wider client and property management services, retention periods may vary depending on the type of information involved and the reason we hold it. In deciding how long to retain information, we consider:
- the nature of the information;
- the purpose for which it was collected or is used;
- operational needs;
- legal, regulatory, tax, accounting and record-keeping requirements;
- dispute resolution, fraud prevention and security needs.
Where information is no longer needed, we will delete it, anonymise it or securely retain only what is necessary for the limited purposes above.
Users can request account or data deletion in the following ways:
- by using the deletion request option available from the profile area within the app;

If you request deletion of your app account, we will review and process the request in line with applicable law and our legitimate business obligations.
Please note that deleting app access or an app account may not require us to delete all underlying business records immediately. Because some information shown in the app may also exist within our internal property management or client service systems, we may retain information where we are required or permitted to do so, including for legal, regulatory, record-keeping, dispute resolution, fraud prevention, security or legitimate business purposes.
Where we do retain information after a deletion request, we will do so only to the extent reasonably necessary for those purposes.
We take appropriate technical and organisational measures to protect personal information against unauthorised access, misuse, loss, alteration or disclosure.
However, no online system can ever be completely secure, and we cannot guarantee absolute security.
Subject to applicable law, you may have the right to:
- request access to the personal information we hold about you;
- request correction of inaccurate or incomplete information;
- request deletion of your personal information;
- request restriction of processing;
- object to certain processing;
- request transfer of your personal information where applicable;
- withdraw consent where we rely on consent.

The Addressed app is not intended for children under the age of 18 and we do not knowingly collect personal information from children through the app.
